Delegate Services Assistant - Congress of the Humanities and Social Sciences

Summary:

The Canadian Federation for the Humanities and Social Sciences is looking for a Delegate Services Assistant to aid in the planning and execution of the Congress of the Humanities and Social Sciences, an annual conference that brings together over 8,000 scholars from across Canada. This year's conference will take place between May 28 to June 4, 2010, at Concordia University in Montreal.

The candidate will work out of the Ottawa offices in the lead-up to the event and travel with the Congress team to Montreal to assist in the execution of the conference. 

Detailed Duties and Responsibilities:

In advance of Congress, responsibilities will include:

  • Assist in the hiring process including correspondence, triage, interviews and scheduling of contract workers for Congress
  • Help develop processes for the Delegate Services Office (prepare information binders, FAQ's, maps, list of supplementary information, etc.)
  • Assist in writing the Student handbook and FAQs
  • Assist Event Planning Officer and Manager of Congress with other logistical tasks as required
  • Assist Congress Registrar with registrations (when required)

On site at Congress, responsibilities will include:

  • Help set up and staff the Delegate Services office
  • Assist delegates with questions and needs
  • Coordinate student workers on-site: track attendance, radio and materials sign in and out; troubleshoot as dispatch
  • Assist associations' Programs Table when required

Qualifications:

The ideal candidate would have the following qualifications:

  • Previous experience in coordinating volunteers/students/staff
  • Customer service experience (dealing with the public) and/or experience organizing events (large or small scale)
  • Ability to handle difficult situations with tact and diplomacy
  • Comfortable working in a fast-paced environment and superior problem solving skills
  • Excellent computer skills (Microsoft Office, Excel) and experience doing mail merges
  • Fluent in English with a working knowledge in French (spoken and written)

This is a 6-8 week contract starting mid-late April.
